Executive Director
Boucher Institute of Naturopathic Medicine


BINM was established in 2000 in the southwest coast of British Columbia, Canada with the aim of offering a unique Doctor of Naturopathic Medicine program specializing in small class sizes and a mentorship model of education. BINM is currently expecting an enrolment of 165 students for the 2008-2009 school year and has graduated five classes to date. Being the only school of its kind in Western Canada and only one of two in the country, the Boucher Institute seeks to consolidate its position as a top quality option for naturopathic medical education in North America. Responsible for the overall leadership and direction of the Institute, the Executive Director will further consolidate and lead BINM to a new level of professionalism and high-quality standards within the naturopathic medical profession honoring founders and alumni as well as naturopathic medical principles.

The ideal candidate will have a doctorate in educational administration/ leadership or related field or equivalent as well as at least three years experience in a senior management position preferably at a naturopathic/alternative medicine educational organization. She or he will bring both leadership experience and business acumen particularly relating to private, non-profit, graduate educational organizations as well as will demonstrate well-developed interpersonal and intercultural skills to collaborate effectively within and outside the Institute. He or she is an individual who is future-oriented, knowledgeable and experienced about naturopathic/ complementary/alternative medical education in particular and adult education in general, and able to build appropriate partnerships to further the mission of the Institute.

Executive Assistant

REPORTS TO: President / Executive Director

SUPERVISES: Administrative Assistant(s) & Temporary Help (as available)

SALARY: $37,000 TO $38,500 depending on qualifications and experience

POSITION SUMMARY :

As Executive Assistant for BINM, your main responsibility is to support the President / Executive Director in carrying out the overall management and administration of the Institute and complying with all legal and accreditation standards and requirements. As such, your duties may from time to time include any or all of the following, as directed by the President / Executive Director, and any other reasonable duties according to the needs of the Institute.

REQUIREMENTS :

Minimum two (2) years post-secondary education, or an equivalent combination of education and experience. Three (3) years experience in an office setting with increasing responsibilities. A self-starter who is well organized, a good team member, with excellent communication and computer skills and the ability to work independently.

RESPONSIBILITIES AND DUTIES :

Administration:

•  Accreditation

•  Provide the support needed to achieve and maintain accreditation / recognition with relevant agencies, as directed.

•  Assist with annual and other required report preparation, writing, submission and archiving.

•  Organize and maintain correspondence, bylaws, standards and other information relevant to all accrediting and regulatory bodies.

Executive Office

•  Provide administrative support for the President / Executive Director in his/her capacity as a member of the BINM Board of Governors, AANMC Board and other professional organizations relevant to the Presidential/Executive role.

•  Provide minute taking, generation and distribution services for committee and other meetings as directed. Maintain files and archives of BoG, AGM and committee minutes.

•  Maintain policy and procedure binders.

•  Manage appointment bookings and business travel details for President/Executive Director.

•  Process incoming and outgoing mail and faxes for the President/Executive Director.

•  Screen and manage telephone calls, messages for the President/Executive Director.

•  Photocopy and data entry for Executive Director as directed.

•  Produce, maintain and distribute the administrative calendar each term, as well as assist in the accomplishment, monitoring and follow-up of scheduled events/tasks on that calendar.

•  Draft, edit, and proof letters, documents and promotional items as directed.

•  Maintain contact information lists / database of BINM Administration, Clinic and academic faculty, staff, Board and committee members and others as directed by the Executive Director.

General Administration:

•  Participate in the development, implementation and maintenance of effective and efficient office systems, including hardcopy and electronic filing systems, copying and printing systems, etc.

•  Design and revise forms, spreadsheets and standard administrative document templates as necessary.

•  Monitor and order office supplies as needed for the executive office.

Facilities and Operations:

•  Manage day to day needs of facilities upkeep and maintenance, and act as liaison between the property management company and BINM.

•  Coordinate general facility office equipment operations, re: inventory, replacement/installation, maintenance, repair and supplies, as needed and as directed by supervisor.

•  Monitor online security system, distribute and manage keys, security key cards and alarm PINs and liaise with security company as needed.

Safety & Security:

•  Ensure the security of the facilities by working with management team to develop and implement security procedures.

•  Participate on the BINM Worksafe Committee to ensure safety standards are achieved and maintained.

•  Ensure students and staff receive required safety orientation and that scheduled evacuation drills are accomplished.

•  Maintain critical incident files.

Supervisory

•  Hire, train and supervise temporary or part-time help to accomplish some of the stated duties, as funds allow, as needs dictate and as directed.

Organizational Responsibilities

•  Participate as a constructive member of BINM's administrative team to achieve the stated mission and goals of the Institute.

•  Participate in regular Management Committee meetings.

•  Communicate in a positive, regular and timely manner with your supervisor in regard to all matters concerning personal performance in the context of this job description and fulfillment of goals and objectives.

•  Carry out all projects and duties assigned on a timely basis.

•  Maintain confidentiality of all matters entrusted to this position.

Clinic Front Desk Staff

The Boucher Institute of Naturopathic Medicine is growing again, and is looking for full and part-time front desk staff for our busy teaching clinic. The front desk staff are responsible for answering phones, booking appointments, managing patient flow, managing patient charts, managing cash, and assisting in training of student clinical assistants. This position requires someone who is able to remain calm under busy conditions and who works well with others. This position will be posted until filled.
