POSITION SUMMARY:
The Front Desk Assistant is responsible for the day-to-day operation of the front desk (reception area) of the BINM clinic. This includes managing patient flow, managing patient charts, tracking patient sales, managing cases and assisting in training of student clinical assistants. General duties and responsibilities are outlined below, however additional duties may be assigned by the Clinic Manager.
HOURS: 14 – 20 hours per week. Must be able to work evenings and weekends.
REQUIREMENTS AND QUALIFICATIONS:
• Applicant must pass a criminal records check
• At least two years of post secondary education
• Have a pleasant phone manner and personal manner for greeting patients
• Good organizational skills
• Experience in clinic reception preferred.
KEY RESPONSIBILITIES AND DUTIES:
1. Front desk duties
a). Answer phones, book and confirm appointments
b) Screen questions for clinical supervisor/student clinicians
c) Manage patient flow procedures
d) Maintain comfortable atmosphere in the waiting area
e) Ensure patient chart preparation is completed
2. Patient file management
a) Ensure that all charts are properly labeled, formatted and secure
b) Pull the files for the next shift prior to the end of the current shift
c) Return completed patient files to their correct place in the filing cabinets at the end of each shift
d) Maintain security of all patient information
3. Cash management and accounting
a) Calculate and collect payment for services using clinic computer system
b) Reconcile cash at end of shift
c) Maintain security of cash box and keys at all times
4. Organizational responsibilities
a) Participate as a constructive member of BINM’s administration team to achieve the state mission and goals of the Institute.
b) Communicate in a positive, regular and timely manner with your supervisor in regard to all matters concerning personal performance in the context of this job description and fulfillment of goals and objectives
c) Carry out all projects and duties as assigned on a timely basis.
d) Maintain confidentiality of all matters entrusted to this position.
